Job Description


As part of the Wavestone's People Team your role will be to build, enhance and maintain a pleasant and comfortable work environment, ensuring that our teams look forward to working on-site in our New York office. Your role will be key to the engagement of our teams who come to the New York Office. The Office Manager should embody the Wavestone values of creating a great employee experience, having a collective mindset, have a strong sense of ethical and social responsibility and a client satisfaction mindset

Office Atmosphere Champion

  • Creating and maintaining an engaging, comfortable and attractive working environment in the New York City office

  • Maintenance of a clean and comfortable working environment

  • Organize in-office events onsite and in our Dallas office – working with catering companies/restaurants/service providers

  • Collaborate with employees to continually enhance the office atmosphere

  • Work with IT to enhance and upgrade the space and technology

  • Maintain close and frequent interactions with employees to contribute to warm and inviting atmosphere

Reception & Shipping

  • Welcome all guest and employees, including clients, visitors and candidates

  • Manage employee and guest access liaising with building management for all hub locations

  • Answer and relay phone calls

  • Manage shipping of marketing/IT/other company supplies and materials

HR Administration

  • Provide support in HR programs like onboarding support & offboarding by working with the HR team to ensure a seamless and positive experience

  • Support recruitment team when doing on-site interviews

  • Participate and support employee resource groups like the cultural committee and CSR to further enhance the in-office and general employee experience

Facility Management

  • Work with the global facility team to ensure legal documentation & paperwork is in order

  • Check and maintain inventory of office supplies and pantry/kitchen supplies & maintain vendor relationships

  • Manage purchase order, invoicing and credit cards

  • Support the IT team and liaise directly with employees on laptop needs etc.

  • Support building maintenance & liaise with the appropriate groups; eg HVAC checks, fire alarms

  • Ensure adequate and functioning work stations, conference rooms and manage booking & reservations


Qualifications

  • Excellent people skills, proven ability to connect with people, build relationships and trust

  • Demonstrated communication skills, verbally and written

  • Organized, reliable & accountable, proactive, ability to multitask with strong attention to detail and timeliness

  • Proficiency in Microsoft office tools

  • Basic HR knowledge a plus

  • Salary range: 58.5-65K


Additional Information


This full-time position is based out of our New York Office. This position requires a minimum in-person presence in our New York office at least 3 days a week. Candidates should live within a reasonable commute (~30-40mins) to our New York City Office located in Times Square, near Bryant Park. The role may also require some travel to our Dallas Office.
