JOB SUMMARY
We are seeking a skilled administrative professional for the Government Affairs Department in Washington DC. This individual will provide support to the Executive VP (EVP) of Government Affairs and the Group VP (GVP) of Government Affairs for Policy Communications. The position of Executive Assistant requires proven organizational skills, a strong sense of responsibility, a motivated “self-starter” mentality with a strong ability to work independently, the ability to prioritize and anticipate the needs of the business, and a demonstrated ability to work cooperatively as a team member.
MAJOR DUTIES AND RESPONSIBILITIES
Schedule and maintains calendar of appointments, meetings, and travel itineraries, and ensure executives are running on time
Develop memos for EVP’s external meetings, including with Members of Congress, and ensure EVP has all materials necessary for internal meetings
Ensure EVP’s direct reports meet deadlines to deliver materials to EVP
Prepare EVP and GVP for travel, public events and speaking engagements by compiling relevant information and contributing content to composition of presentations, speeches or other correspondence
Answer inquiries and obtain and furnish information on behalf of executive; prioritizes executive’s incoming communications to ensure they are aware of key issues
Work with Legal to ensure EVP’s and GVP’s professional services contracts are properly drafted and approved, file contracts in online system, process bills and track to ensure payment is made
Oversee Office Receptionist’s ordering of supplies, the submission and payment of purchase orders, and the clearing of office visitors through building security
Organize and prepare complex documents requiring the integration of multiple office technology and software applications, including preparing expense reports
Act as the executive’s resource for word processing, PowerPoint and spreadsheet applications
Prepare and maintain confidential information and data
Perform comprehensive event planning and coordination function, including determining attendees, flow of information to attendees, equipment, staffing, catering, location, etc.
Oversee some administrative functions for the office
Perform other duties as requested by supervisor

Education
Bachelor's degree
Related Work Experience
Executive Administration or equivalent experience 3+ years

Knowledge of office procedures and the operation of standard office equipment
Knowledge of organization policies and practices
Solid expertise in the use of Microsoft Office applications including Word, Excel and PowerPoint
