About Us

Ellis, Li & McKinstry PLLC is a well-established firm specializing in a number of practice areas. Our busy estate planning and probate team is seeking an executive assistant to manage client projects and workflow. Though we may be a smaller firm, we act like a big firm in many ways. We have a sophisticated practice and great resources including software and technology. We’re focused on helping our team members develop their own expertise. We believe in work/life balance and overtime is rare. We have periodic lunches together, holiday celebrations, and summer events, including attending a Mariner’s game together. This is a new position in the firm and is a wonderful opportunity for someone who wants to grow and expand the role. You will be working directly with the attorney and paralegal in this department and will assist the attorney in managing his client files. This is a busy, client-facing role that needs a motivated self-starter.

About You

You have current experience working in a professional service environment (financial planner/advisor, client account management, etc.) and the best part of your day is interacting with clients. Estate planning requires a warm, inviting and dynamic personality that puts clients at ease with what can be emotional decisions. You thrive on organization, keeping processes on track, and having your finger on the pulse of the practice, always being one step ahead! You are tenacious about creating, monitoring, and protecting deadlines for both yourself and our busy estate planning attorney. You completely embrace the use of technology in daily workflow and have extensive experience working with Microsoft Office applications, and case management tracking systems, as well as Adobe Pro. You look forward to the opportunity to improve existing processes, as well as suggest and create new tracking procedures. You take pride in your excellent communication skills, both verbal and written, and are able to easily transition from independent worker to active team leader!

Your duties will include but are not limited to:

  • Creating a system for tracking client engagements
  • Keeping task management system up to date
  • Organizing attorneys’ schedules and task lists to complete client engagements
  • Scheduling client appointments
  • Corresponding with clients and gathering client information
  • Entering client information into system
  • Organizing information for attorney review
  • Tracking progress of a client’s matter
  • Creating business marketing tools, documents, or newsletters
  • Serving as a dependable team member for estate planning and related projects
  • Becoming an expert in all aspects of a client’s engagement

Your Experience & Qualifications:

  • 4+ years’ experience working in a professional environment
  • Fluent in technology, including Office 365, Adobe, file share, document management, document creation, and task management systems
  • Excellent verbal and written communication
  • Proven understanding of and commitment to client services
  • Willingness to take on new challenges, responsibilities, and assignments
  • Exceptional attention to detail and organizational skills
